Executive Board Position Descriptions
Leadership, communication, innovation, creativity, time management, and delegation skills are highly encouraged for all positions. All executive positions meet biweekly during the fall semester and weekly during the spring semester.
Executive Directors
Director positions manage each branch of the executive board. Together, these four positions are responsible for guiding the day-to-day direction of Meccathon, dealing with conflict resolution, leading Executive Committee meetings, and ensuring the future success of the organization. In addition to the biweekly Executive Board meeting, the directors also attend regularly scheduled meetings with the staff advisor and hospital representative. 

Executive Director:
-Responsible for representing Meccathon to the campus, community and hospital at any and all events throughout the year
-Maintains positive relationships with student organizations and the administration, on behalf the entire Meccathon Executive Board
-All communication to and from the hospital should go through the Executive Director, when feasible 
-Responsible for ensuring that the entire Executive Board is well informed of happenings for Meccathon
-Leads all team meetings
-Ensures that all members of the Executive Board have the resources that they need to be successful
-Oversees the completion of tasks and responsibilities of every other team member
-Directly oversees the Internal, External, and Finance Directors and works closely with all other chair positions throughout the year
-Responsible for seeing the larger goal of Meccathon and ensuring seamless communication and teamwork


Internal Director:
-Oversees the three Internal Executive Chairs to coordinate the overall event logistics for Meccathon: the Morale Chair, the Entertainment Chair, the Operations Chair, and the Family Relations Chair
-Responsible for maintaining accurate records of Executive Board meetings
-Creates the overall event timeline for Meccathon 
-A familiarity with campus operations and strong leadership skills would be an asset to this position


External Director:
-Oversees the three external Executive Chairs to coordinate all outreach activities for Meccathon: the Advertising Chair, the Campus Relations Chair, and the Recruitment Chair.
-Works with campus leadership and administration to gain campus-wide support for Meccathon
-Works closely with the Advertising Chair to choose/execute event branding "theme" to guide creative programming and outreach opportunities
-Builds strategic outreach vision for the entire year leading up to the event
-Strong public speaking skills and familiarity with campus administration structure would be an asset to this position.


Financial Director:
-Oversees all chairs associated with fundraising, revenue, and expenses: the Sponsorships Chair, the Catering Chair, and the Fundraising Chair
-Responsible for collecting, tracking, and maintaining all funds raised by Meccathon throughout the year
-Manages all online donations, letter writing campaigns, and in person donations for the event
.Responsible for recognizing and rewarding the fundraising efforts of all participants and teams throughout the year and at the event
-Responsible for keeping expenses at a minimum for all other team members
-Works with the Fundraising Chair to generate new fundraising ideas, incentives, and competitions to increase student participation
-Compiles individual chair and director budgets and creates a rough event budget to help guide the Executive Committee throughout the year
-Responsible for inputting donation information, troubleshooting, and correcting errors on the online fundraising system, Donor Drive
-Experience with Excel and Accounting would be an asset to this position
Executive Chairs
Executive Chairs will create and execute a strategy revolving around their specific position and responsibilities, while honoring the best interests of the entire organization and event as a whole. Chairs are expected to recruit and select committed and capable committee members to help them execute their strategy and help them during the Main Event. Chair Positions report to their respective branch director while working and communicating, especially within their branch. Each chair may supervise a committee of up to 10 members that they delegate to in order to foster leadership and empowerment. 

Advertising Chair:
-Responsible for the promotion of Meccathon and all events and activities associated with Meccathon throughout the year
This includes, but is not limited to: 
•    Social Media
•    Promotional Videos
•    Design of Fliers & Posters
•    Photographing events
(Graphic design and/or video edits skills would be an asset to this position.)


Campus Relations Chair:
-Serves as the liaison between student organizations and Meccathon
-Designs, markets, and manages the Greek community, student organizations, & residence hall challenges
-Responsible for getting all on-campus organizations registered for Meccathon
-Expands Meccathon’s reach on campus
-Assists the External Director when needed
(This person must be familiar with student organizations, the Greek community, and Residence Life.)


Catering Chair:
-Responsible for contacting local restaurants and grocery stores to obtain food donations and gift cards to provide meals at the Main Event, as well as Meccathon events throughout the year
-Responsible for soliciting monetary and in-kind donations from local businesses restaurants. 
-Creates and finalizes the meal schedule for the Big Event
-Arranges “benefit nights” at restaurants during which a percent of proceeds will be donated to Meccathon.  
-Works closely with the Financial Director and Sponsorships Chair
(Strong organization and interpersonal skills would be an asset to this position.) 


Entertainment Chair:
-Responsible for keeping participants entertained at the Main Event, as well as working with the other chairs for promotional events throughout the school year. This includes, but is not limited to:
•    Finding Emcees for the Main Event
•    Finding DJs for the Main Event
•    Soliciting performances for the Main Event
•    Planning activities and games for the Main Event & Meccathon promotional events throughout the year
•    Creating the event schedule for the Main Event in conjunction with the directors


Family Relations Chair:
-Responsible for welcoming the Miracle Families and keeping them entertained at the Big Event, as well as Meccathon promotional events throughout the year
-Keeps all event participants engaged with the mission of the organization by sharing Miracle Family stories throughout the year and creating opportunities for students to meet and interact with the Miracle Families


Fundraising Chair:
-Responsible for planning and executing fundraising events and activities throughout the year to help participants fundraise. 
This includes, but is not limited to:
•    Incentives and competitions
•    Drawings/Raffles 
•    Canning
•    Other fundraising events 
(Strong organization and interpersonal skills would be an asset to this position.)


Morale Chair:
-Responsible for generating the internal and external morale and energy of the organization throughout the year, as well as at the Main Event, including, but not limited to:
•    Picking and cutting the music for the “Morale Dance”
•    Choreographing the “Morale Dance”
•    Teaching the “Morale Dance” at the Main Event
•    Keeping morale up at all Meccathon events throughout the year, working with other chairs
(Experience with public speaking, an outgoing personality, and comfort with dancing in public would be an asset to this position.)


Operations Chair:
- Responsible for making room reservations on campus, including the venue for Meccathon and all associated reservations, including, but not limited to: Campus Safety, A/V, Stage, etc. 
-Confirms all necessary Howard University and Washington, D.C. permits for Meccathon activities and events.  
-Designs all floor layouts and is in charge of all set-up, maintenance, strike, and security for the main event.
(A familiarity with campus operations and strong leadership skills would be an asset to this position.)


Recruitment Chair:
-Responsible for getting Howard University students and administration interested in and registered for Meccathon
-Works closely with the Fundraising Chair, Entertainment Chair, and Advertising Chair to plan recruitment events and activities throughout the year 
-Attends and/or coordinates the attendance for a Meccathon representative to speak at other events on campus throughout the year to recruit participants
(Experience with public speaking and strong interpersonal skills would be an asset to this position.)


Sponsorships Chair:
-Creates a list of potential corporate partners and to build an outreach strategy for these prospects.  
-Responsible for soliciting monetary and in-kind donations from local businesses and corporations. 
-Works closely with the Financial Director and Catering Chair  
(Strong organization and interpersonal skills would be an asset to this position.)
